Located in Englewood, Florida, the "Happy Hibiscus" area office is managed by Homesearch International LLC. This company handles American, Canadian, and European rental bookings and oversees the day-to-day needs of rental guests staying in our homes.

What Happy Hibiscus Offer Our Management Clients

Taking care of a second home is as important as maintaining your primary residence. While you manage the daily operations of your primary home, Happy Hibiscus take on the responsibility of your second home with the utmost seriousness. Homes in sub-tropical climates may require more attention than those in cooler areas, and Happy Hibiscus ensure no shortcuts are taken.

Standard Management for Homes with Heated Pool

Pool

·         Covered: Weekly pool care, including necessary chemicals, scrubbing tiles at water level, vacuuming as needed, and cleaning skimmer baskets and pool filters.

·         Not Covered: Replacement of any pool equipment.

Lawn

·         Covered: Year-round lawn maintenance, with weekly cuts in summer and monthly cuts in winter, totaling 34 cuts per year. Includes blowing and edging.

·         Not Covered: Replacement of grass and faulty irrigation heads.

Landscaping

·         Covered: Year-round landscape maintenance, including weed control of flower beds (34 times a year), trimming shrubs (9 times a year), and trimming palm trees under 20 feet (2 times a year).

·         Not Covered: Replacement of plantings, yearly irrigation system service, annual mulch replacement, tree work on large trees, and lawn weed control.

Pest Control

·         Covered: Regular pest control treatments inside and outside the house, including treatments for fire ants, grubs, and mole crickets. Basic weed and feed for the lawn, done 4 times a year, with additional call-outs as needed.

Property Visit

·         Covered: Property visits by a licensed "Happy Hibiscus" staff member or contractors when the property is unoccupied and during guest occupancy. Immediate notification of any issues. Please inform us if others have keys to your house, as Happy Hibiscus cannot be held liable if others have access.

Added Value

·         Optional AC scheduled maintenance and repair contract performed by Grande Aire. (excluding freon cost) $350 per year. Please advise the office if you want to add this service.

·         General maintenance: "Happy Hibiscus" will arrange for all necessary repairs or replacements as outlined in the "Happy Hibiscus" Rental Program Terms.

Hurricane Season

The tropics are known for their hurricane season, and "Happy Hibiscus" provides exceptional care for your home year-round. During hurricane season, Happy Hibiscus ensure peace of mind by being on-site at the first threat and immediately after a hurricane. Happy Hibiscus will check your home for leaks and damage, report any issues, and start the recovery process, including assisting with insurance claims. Homeowners are responsible for making claims, but Happy Hibiscus can provide photographs and liaise with insurers.

If necessary, Happy Hibiscus will move your lanai furniture inside and return it once the storm threat has passed. This service costs $65.00 per person per hour.

Optional Yearly Deep Clean ($450.00)

·         Clean window ledges and door tracks

·         Clean sliding glass doors inside and out, including runners

·         Clean all bathrooms (toilets, tubs, showers, sinks)

·         Clean window and pottery ledges

·         Remove, dust, and replace all pictures and mirrors

·         Vacuum all drapes and window treatments

·         Remove cushions from chairs and sofas

·         Wipe out all cabinets and vanities (kitchen, bathrooms, laundry room)

·         Clean all light fixtures and chandeliers inside and out (remove, wash, replace)

·         Vacuum all floors and carpeting under sofas, chairs, and furniture

·         Mop all floors

·         Sweep out garages and dispose of junk

·         Dust verticals, blinds, and AC vents

·         Clean all fans (inside and out)

·         Wipe down all doors

·         Clean oven

·         Wipe down all baseboards and moldings

·         Wipe down fronts of all cabinet drawers and doors

·         Wipe down closet shelves, doors, and drawers

Dry cleaning bedspreads, pillow shams, and all bed linens is available at an additional cost.

General "Happy Hibiscus" Management Program Terms

1.     This agreement can stand alone or be combined with the vacation rentals contract as selected from Annex A.

2.     You will receive a monthly e-statement detailing your payments and expenses, as selected from Annex A. Payments will be processed between the 1st and 15th of each month in USD by "Homesearch International." If payment cannot be processed after three attempts, services will be canceled immediately, and Happy Hibiscus reserve the right to terminate the contract for breach and place a lien on your property until all fees are paid.

3.     "Happy Hibiscus" will arrange for general repairs or replacements up to $350 per occurrence when the property is unoccupied. For repairs exceeding this amount, authorization from the owner will be requested.

4.     This contract may only be amended or modified by a written document executed by both the owner and "Happy Hibiscus" Property Management.

5.     If linked with Happy Hibiscus rentals, this management contract is of indefinite duration and automatically extends to one day past the departure date of the latest booking.

6.     Owners must have an up-to-date credit card on file for automatic e-statement payments.

What Happy Hibiscus Offer Our Vacation Rental Clients

Our website features a rental availability calendar for your home, updated automatically with new bookings. Both "Happy Hibiscus" and the owner have access to this database. Owners must input their personal bookings, which will update the calendar and database.

Agreed Rental Rates to Owner

A "Happy Hibiscus" representative must inspect your home before committing to rental rates.

Added to the Agreed Net Rental Rates

The rental price provided is your net amount. Happy Hibiscus add the following to determine the advertised price:

·         State and County bed tax

·         Arrival prep and departure clean

·         "Happy Hibiscus" commission

·         Any third-party fees

Booking Terms and Financial Agreement

Owners receive a booking notification email once a booking is secured. Signing the rental agreement allows "Happy Hibiscus" to take bookings based on availability. Bookings are confirmed through our system and accepted on a first-come, first-served basis. Owners must update their bookings promptly to avoid cancellation fees.

Booking funds are deposited into the owner's account on the 15th of the month after the guest's arrival.

"Happy Hibiscus" advertises on several sites.

Photography

Happy Hibiscus organize and pay for professional photos to showcase your home.

Owner Placing Bookings

Owners can book their property year-round. A hosting fee is charged for owner bookings as well as, prep/final clean, and declared tax.

County and State Bed Tax

All bookings are subject to a 12% tax. Owners must pay the applicable tax if they receive rental payments. "Happy Hibiscus" remits declared owner booking taxes to the state and county. Owners must notify "Happy Hibiscus" of the total tax per booking by the 10th of each month.

US owners must provide a valid social security number or ITIN. Without one, "Happy Hibiscus" must retain 30% of rental income for future taxes.

"Happy Hibiscus" Placing Bookings

Advantages include:

·         No paperwork or hassle

·         No confusion about availability dates

·         "Happy Hibiscus" handles tax payments for all bookings

·         No guest departure cleaning fee to the owner

Damages Caused by Rental Guests

A $2000 Happy Hibiscus fund covers deliberate damages. Normal wear and tear, stained linens and broken glasses, are not covered.

Guest Arrival Preparation

·         Ensure the pool deck and lanai are dust-free; hose down if necessary.

·         Set up and dust outdoor furniture.

·         Sweep the porch and pathway, and ensure the porch is free of flies.

·         Check light bulbs, flush toilets, and set out miniature soaps and supplies.

·         Leave lights on to welcome guests.

·         Verify the key box is working correctly.

·         Turn on pool heat.

Guest Departure Cleaning

·         Clean and sanitize all bathrooms.

·         Replace all linens and towels with fresh ones.

·         Remove all trash and place it at the curb. If garbage collection is not scheduled for the next day, a "Happy Hibiscus" representative will handle it.

·         Dust all furniture and windowsills.

·         Clean glass tables, mirrors, sliding glass doors, and French doors.

·         Vacuum all carpets and floors.

·         Mop all tile and vinyl floors.

·         Spot check doors, walls, and light switches for fingerprints.

·         Clean fan blade edges.

·         Check dresser drawers for items left behind.

·         Wipe down washer/dryer and clean the dryer lint filter.

·         Clean the utility sink.

·         Tidy up the garage.

·         Adjust AC to 78 degrees if the house will be vacant; 76 degrees for same-day changeovers.

·         Clean out the refrigerator and freezer, removing all items left by previous guests.

·         Wipe down all shelves, bins, and racks in the refrigerator and freezer.

·         Clean all appliances, including the coffee maker, toaster, stove, microwave, and dishwasher.

·         Load and unload the dishwasher.

·         Turn off pool heat.

·         Bring trash cans to the curb after departure and return them after collection.

General "Happy Hibiscus" Rental Program Terms

1.     "Happy Hibiscus" can book your home up to 24 months in advance for any dates not occupied by the owner or their guests.

2.     You will receive a monthly e-statement detailing payments, expenses, and income. Payments are processed between the 1st and 15th of each month in USD by "Homesearch International." If your rental account lacks sufficient funds and payment cannot be processed after three attempts, services will be canceled, and Happy Hibiscus reserve the right to terminate the contract and place a lien on your property until all fees are paid.

3.     "Happy Hibiscus" will arrange for general maintenance, repairs or replacements up to $350 per occurrence when the property is unoccupied and $1000 when occupied. For repairs exceeding these amounts, authorization from the owner will be requested. If a repair cannot be performed on the same day, "Happy Hibiscus" may move the guest to another property, deducting unused nights and cleaning fees from the owner's payout.

4.     Owners are responsible for ensuring compliance with all applicable land use, ordinances, zoning laws, deed restrictions, and restrictive covenants. "Happy Hibiscus" incurs no liability and must be indemnified by the owner.

5.     Owners must pay all property bills and mortgage payments on time.

6.     This contract may only be amended or modified by a written document executed by both the owner and "Happy Hibiscus" Property Management, Inc.

7.     This rental contract is linked with "Happy Hibiscus" management and is of indefinite duration, automatically extending to one day past the departure date of the latest booking.

8.     All homes on the rental contract must have a full inventory, 24/7 AC maintenance contract, pest control, and Internet. TV packages must include local channels, ESPN, CNN, and a weather channel, provided by "Happy Hibiscus" for the first year for owners with smart TVs that allow DirecTV Stream or Roku TV/sticks.

9.     Owners agree to have a key box fitted to the front of the house for access by "Happy Hibiscus" personnel and guests.

10.  Owners must have an up-to-date credit card on file for e-statement payments when the rental account has insufficient funds.

11.  Fees for non-"Happy Hibiscus" occupancy are listed in Annex A.

12.  "Happy Hibiscus" can reduce rental rates by 10% to secure bookings of 28 nights or longer.

13.  "Happy Hibiscus" can hold amounts in non interest escrow as stated in Annex A for each new booking until the guest arrives.

14.  Properties will be distributed to marked channels shown in Annex A by "Happy Hibiscus" on a non-competitive basis, meaning owners cannot list their inventory directly on the channel or through another company for a lower total advertised price while "Happy Hibiscus" is the connectivity provider.

15.  Owners agree to the "Happy Hibiscus" guest booking cancellation policy and minimum stay policy.

16.  Owners accept that inclement weather can affect service scheduling.

This agreement, including Annexes A, B, and C, is made between [ownername] the owner of [propertyaddress] and Happy Hibiscus.

Acceptance of these terms by the owner shall be evidenced by either the acceptance of the first booking or the completion of the first month's service, whichever occurs first.

·         Any existing bookings secured for the house, due for arrival after termination, will remain under "Happy Hibiscus" administration. Standard fees and charges apply. If the owner wants these bookings removed, they must pay a fee as detailed in Annex A.

Owner Placing Bookings in Their Own Property / Non-"Happy Hibiscus" Occupancy Fee per night

·         Rate: $6.00 for owner's bookings

Booking Hold Fee at "Happy Hibiscus" Discretion

·         Rate: 10% of upcoming bookings

Additional Items Supplied Free by "Happy Hibiscus" for All Bookings

·         Items: Towels, beach towels, bed sheets, pillowcases, prep products, BBQ gas (with property management package)

Minimum Booking Nights Agreed

·         3 nights

Owner Booked Rental Departure Cleaning

·         Rate: $175 for 3-bedroom, 2-bathroom or smaller; $195 for larger properties

Early Rental Termination Fee

·         Fee: 10% of upcoming bookings

Rental Service Cancellation by Either the Owner or "Happy Hibiscus"

·         Any existing bookings secured for the house that are due to arrive after the termination of the rental portion of this contract will remain under the administration and care of "Happy Hibiscus." All standard fees and charges will apply. If the owner wishes to remove these secured bookings, they will be responsible for paying "Happy Hibiscus" a fee as detailed in Annex A for each booking.

Annex B

·         Current agreed rates to owners can be found on our website www.happy-hibiscus.com/[owneremail]. These are in-pocket rates, with state and county taxes, cleaning, credit card fees, standard commission, and third-party fees already paid. Future rates may fluctuate based on market demand. Bookings made before any price changes will remain at the original booked price.

Annex C

Owners agree that Happy Hibiscus reserves the right to terminate and assume control of any services not performed by Happy Hibiscus but instead by the owner's service provider, should such services fail to meet the standards set by Happy Hibiscus
